Terms and Conditions of Hire
These terms and conditions apply to all rides and attractions booked through Ride Hire UK Ltd. by paying a deposit or confirming a booking, the hirer agrees to these Terms and Conditions.
1. Bookings and payments
A booking is not confirmed until the required deposit has been received.
Unless otherwise agreed in writing:
- A 20% deposit is required to secure the booking.
- The remaining balance must be paid no later than 14 days before the event.
- Bookings made within 21 days of the event must be paid in full when booked.
- We are not currently VAT registered, so VAT will not be added.
2. Cancellations by the hirer
All cancellations must be made in writing.
Where a booking is cancelled, we may retain or charge an amount reflecting the costs and losses reasonably incurred as a result of the cancellation, taking account of any savings made or replacement booking obtained.
Our usual cancellation charges are:
- More than 30 days before the event: the deposit.
- Between 15 and 30 days before the event: up to 50% of the total booking price.
- Within 14 days of the event: up to 75% of the total booking price.
- On the day before or day of the event: up to 100% of the total booking price.
These charges will not exceed our reasonable losses resulting from the cancellation.
3. Changes to a booking
Any requested change of date, location, operating time or equipment is subject to availability and may result in an additional charge.
Moving a booking to another date is not guaranteed and must be agreed by us in writing.
4. Hire period
The agreed hire period will be stated on the booking confirmation.
Unless otherwise agreed, the standard operating period is four hours. Additional operating time may be charged at £200 per hour, depending on the ride, staffing and fuel requirements.
Charges may also apply for setting up the day before the event, delayed de-rigging or collection after the agreed time.
5. What the hire includes
Unless stated otherwise, the agreed price includes:
- Delivery to the agreed location.
- Set-up and de-rig.
- Trained operating staff.
- Generator and standard fuel requirements.
- Operation for the agreed hire period.
Trackway, ground protection, security, fencing, overnight accommodation, additional fuel or other site-specific requirements are not included unless confirmed in writing.
6. Site access and suitability
The hirer must provide safe, firm and unobstructed access for the vehicles, trailers and equipment.
The hirer must tell us before booking about:
- Narrow entrances or gateways.
- Weight, height or width restrictions.
- Soft, uneven or sloping ground.
- Underground services.
- Overhead cables, trees or structures.
- Steps, kerbs or restricted turning space.
- Any other issue that may affect access or safe installation.
The set-up area must be clear, level, firm and suitable for the booked equipment.
Where we recommend a site visit and the hirer chooses not to have one, we may be unable to provide the equipment if the access or site is unsuitable. The hirer may remain responsible for reasonable costs and losses arising from inaccurate information supplied to us.
Site visits may be charged at a minimum of £100 or £1 per mile, depending on location and requirements.
7. Permissions and event arrangements
The hirer is responsible for obtaining permission from the venue, landowner or event organiser for the equipment to be installed and operated.
The hirer must provide any relevant event information, site plans, access times and contact details before the event.
Any permits, licences, traffic management, road closures, ground protection or special venue requirements must be arranged by the hirer unless agreed otherwise in writing.
8. Safety and operation
All rides and attractions will be operated by trained and experienced staff unless otherwise agreed in writing.
The hirer and guests must follow all safety instructions given by the ride operator or operating staff. Riders must comply with any height, age, capacity, health or behaviour restrictions displayed or explained by the operator.
We may refuse entry to or remove anyone who:
- Ignores safety instructions.
- Behaves aggressively or dangerously.
- Appears to be under the influence of alcohol or drugs.
- Could place themselves, other guests, our staff or the equipment at risk.
The operator’s decision regarding safe operation is final.
9. Weather and unsafe conditions
Safety is our first priority.
We may delay, suspend or stop operation where weather, ground conditions, access problems, crowd behaviour or another circumstance makes operation unsafe.
This may include high winds, heavy rain, thunderstorms, flooding, unstable ground or extreme weather warnings.
Where possible, we will restart operation when it is safe to do so. We are not responsible for lost operating time caused by unsafe conditions outside our reasonable control.
10. Breakdown or equipment failure
All rides and attractions supplied through us are required to be maintained and inspected to the required standards. However, mechanical or electrical faults can occasionally occur.
We will make reasonable efforts to repair the equipment or provide a suitable alternative.
Where a significant period of operation is lost because of a fault for which we are responsible, we will provide an appropriate partial refund based on the affected portion of the hire.
11. Alternative equipment
Photographs on our website are representative of the rides and attractions available.
Artwork, lighting, colours or decorative details may vary. We cannot guarantee that the equipment supplied will be identical to every photograph unless this has been agreed in writing.
In exceptional circumstances, we may offer suitable replacement equipment of an equivalent or higher standard. We will discuss any material substitution with the hirer wherever reasonably possible.
12. Staffing
Operating staff are entitled to reasonable breaks during the event while ensuring that the equipment remains safely supervised.
Unless otherwise agreed, the hirer must provide suitable food and drinks for staff where they are required to remain on-site for an extended period.
Operating staff must be treated respectfully. We may stop operating where staff are subjected tp threatening, abusive or unsafe behaviour.
13. Damage and additional costs
The hirer may be charged for damage caused deliberately or negligently by the hirer, their guests, venue staff or event contractors.
Additional charges may also apply where:
- The agreed hire period is extended.
- Operating staff are kept waiting.
- Access information supplied by the hirer is inaccurate.
- Additional fuel, equipment, labour or transport is required.
- The site is not ready at the agreed time.
Any additional charges must be reasonable and reflect the extra costs incurred.
14. Insurance and documentation
All rides and attractions supplied through Ride Hire UK Ltd must hold the applicable inspection documentation and appropriate public liability insurance.
Public liability insurance ranges from £5million to £25 million on selected rides, depending on the attraction and requirements of the event.
Risk assessments, method statements, insurance documents and inspection certificates can be supplied where required.
The hirer must inform us in advance of any paperwork deadlines imposed by the venue or event organiser.
15. Circumstances outside our control
We will not be responsible for failing to perform the booking where this is caused by circumstances outside our reasonable control, including severe weather, road closures, accidents, emergency restrictions, fire, flooding, war, civil disturbance or government action.
We will contact the hirer as soon as reasonably possible and seek a fair solution, taking account of any costs already incurred and services that can no longer be provided.
16. Complaints
Any concern should be raised with our event supervisor as soon as possible so that we have an opportunity to resolve it.
